SAFETY GUIDELINES: EXCESS & SECURITY DEPOSIT:

CONDITIONS OF HIRE:

1. Valid driver's license and passport must be produced by the renter. All rates include maintenance but exclude tyres, mechanical damages and fuel. Insurance is included but excess amount is payable by the renter in covered. It is the renter's responsibility to arrange own comprehensive travel insurance. Lessor will not be responsible for extra accommodation in case of mechanical breakdowns for any reason.

 

THE FOLLOWING IS NOT COVERED BY INSURANCE:
·         Personal property
·         Personal injury / death
·         Tyre side wall damage
·         Sandstorm and water damage
·         Under-carriage damage not caused by collision
·         Body - or roof – damage not caused by an accident
·         Negligence (see below)
¨       Gross and criminal negligence
¨       Unauthorized drivers
¨       Failing to obtain authorization to extend the rental
¨       Not reporting an accident or loss to the nearest Namibia Police Station and Crown Tours & Safaris Namibia immediately, (within 24-hours)
¨       Not adhering to traffic, road and driving rules and regulations
¨       Driving under the influence of alcohol or any illegal substance
¨       Unsuitable or reckless driving. (all our vehicles have tracking devices and this device will proof reckless driving)
¨       Driving on road conditions where the road is not suitable for the type of vehicle used, or driving off-road without the authorization of Crown Tours & Safaris Namibia.
¨       Unauthorized cross border rentals, (travel is allowed to Botswana, South Africa and Zimbabwe Vic Falls only. With prior authorization and a valid permit.)
¨       Not being able to produce keys in case of theft
¨       Not reporting exact details of last known location of vehicle prior to theft
¨       Exceeding speed limit at 100km/h on a tar road and 80km/h on a gravel road or the set speed limit

 

2. The right of substitute of the vehicle from Partner Company is reserved by the lessor. The lessor also reserves the right to substitute a quoted vehicle with a similar model. No vehicle may be taken outside Namibia without prior arrangement. A sufficient notice of at least 14 (fourteen) working days must be given before rental's commencement date to prepare all necessary documentation in case of over border rentals.

 

3. The renter is liable for the fuel usage, damages and for all extras requested. 0 (zero) or any reduced excess does not cover mechanical damages to the car incurred during rental (under body, body and any other parts of vehicle) if not caused by an accident. The renter has to prove Crown Tours & Safaris Namibia with security for insurance excess amount. 4WD vehicles: Full off road driving (4WD tracks / roads, unregistered roads, deep / loose sand, riverbeds, any unsuitable road, etc.) is not allowed or is at renter's risk: all damages resulting from 4WD usage are on renter's account including damages, rental and delivery of substitution vehicle, transportation / towing, accommodation, driver allowance / expenses incurred by a lessor.

 

4. Rental beyond the originally agreed date of termination or earlier drop-off must be arranged on arrival or ten (10) days before completion of agreement. Rental period is calculated on 24-hours basis from the time of pick-up. Minimum rental period is 24 hours. Vehicles are hired subject to standard Rental Agreement.

 

5. The cars are allowed to Botswana, Zimbabwe and South Africa, in advice arrangement. Driving to unauthorized countries will void all / and insurances taken and hold the renter responsible to the full amount of damages / replacement of the vehicle. In case of breakdown outside of Namibia the renter will be liable for the transportation costs to the Namibian border.

 

6. Crown Tours & Safaris Namibia will not be held responsible for any missed flight for any reason. The renter must ascertain that he/she has enough time for driving from the last destination to the place of drop off including possible police road block checks, flat tyre's, mechanical problems, vehicle check up time, time for airport transfer and pre-flight registration.

 

7. No refunds / discounts will be given if the lessor has not been notified about any malfunctions at the time of occurrence. Notifications on delivery or at the time of termination of the contract will be not accepted and no refund (s) will be granted. Bank fees / charges are strictly non-refundable. No insurance cover driving into the war zone or if any war related accident has occurred. In case of any accident / loss / break-in the renter must notify the nearest police station and obtain a police case number. Failure to do so will render all insurances void and renter is held responsible for all damages incurred. Damages to glass parts and tyres are on the renter's account. Cracked / chipped parts will have to be replaced.

 

8. A notice of at least 3 working days before end of rental period should be given if any damages have been incurred during rental period to enable to obtain a quotation for parts repair / replacement.

 

9. Negligence: negligent driving, drunk driving, speeding, driving under influence of drugs, on unauthorized roads, overturning of the car, accidents when no other vehicle is involved, driving to prohibited areas / countries, reckless driving, obvious acts of disregard to the vehicle will held the renter liable to the full amount of damages.

 

10. Transportation of the vehicle when accident / brake down are factory fault is on lessor's account. Transportation when accident / brake down / collision are renter's fault / occurred during rental period for any reason is on renter's account. Transportation to the Namibia border and all related costs from anywhere outside of Namibia in case of breakdown for any reason: on renter's account. The lessor reserves the right to deliver a replacement vehicle and / or a mechanic's services within a period of 48 hours. Outside of Namibia (all allowed countries) 72 hours.

 

11. Tyres repair by plug is not acceptable. In this case renter will be liable for the costs of tyres replacement. Tyres damaged on the walls must be replaced. Driving on flat tyres is prohibited and will hold the renter liable for the full amount of damages / replacement costs to / of tyres, rim and chassis parts. Not reported damages: all costs arising plus 10%of damage or minimum penalty of N$ 600-00 are payable by renter. All accidents must be reported within 24 hours, failure to do so renders all insurances void. The right of delivery charge / fee within Windhoek, within Namibia / outside of Namibia and / or to / from Windhoek International Airport is reserved by the lessor. Sandstorm damage (s) is / is not covered by any insurance and is strictly on renter's account. A maximum of two (2) drivers is allowed. Driving by unauthorized driver will void all / any insurances taken and hold the renter responsible to the full amount of damages / replacement of the vehicle. Failure to install gearbox / steering wheel lock (s), activate alarm ( if applicable) / produce car keys will render the

 

12. Renter liable to the full costs of replacement vehicle should vehicle be stolen.

 

13. General                    

·         Vehicles must be returned in the same condition as received, including all accessories and equipment and the fuel tank on the same level of fuel as received.
·         Vehicles are rented subject to the terms and conditions of the rental agreement, laws of Namibia and our insurance policies.
·         We reserve the right to substitute vehicles with a similar vehicle.
·         Rental beyond the return date must be arranged 48-hours in advance.
·         We reserve the right to cost the rental agreement and charge the credit card within 72-hours of termination.
·         Traffic fines are for your own account and will be charged to your credit card if you do not settle fines before leaving Namibia.
·         Vehicle brought back in an excessive dirty condition will be charged N$ 500-00 for cleaning.
